Smooth Flow is back-office and client-management software for licensed real estate brokerages, agents, and mortgage loan originators. Each firm gets a private, white-labeled workspace to run their book of business — their contacts, their client communication, their transaction pipeline, and the buyer criteria they are working to fill.
Who it is for
Smooth Flow is sold to licensed professionals only. Our customers are real estate brokerages and agents, and dual-licensed mortgage loan originators. It is not a consumer product, it is not self-service, and it is not sold to the general public — every workspace is provisioned by us for an identified, licensed firm.
The platform ships in two editions from one codebase. Smooth Flow is the full operating layer for a brokerage or a dual-licensed originator. Investor Desk is a focused edition for professionals whose clients are real estate investors, covering buyer criteria, rental and hold analysis, and portfolio tracking. Both are licensed to the professional, not to their clients.

AI-assisted drafts of replies, descriptions and summaries. Output is a draft for the professional to review, not finished work product.

For licensed originators: estimated payment and program comparisons, presented as educational estimates and never as an offer of credit.
How we handle MLS data
Smooth Flow is a technology vendor acting on behalf of MLS participants. We do not operate a consumer listing portal, we do not sell or redistribute listing data, and we do not offer MLS content for public search.
Where a customer's MLS makes data available to them and licenses us to receive it on their behalf, the following govern how that data is used. These are commitments, not aspirations, and they are published here so that any MLS evaluating us can read them without asking.
- On behalf of participants only. MLS data is accessed for the benefit of the participant or subscriber whose license permits it, and is used to support that participant's own work with their own clients.
- Partitioned per firm. Each workspace is isolated. One brokerage's data, criteria and client records are not visible to another, and there is no cross-customer aggregate view of listing content.
- Not resold, not redistributed. We do not sell MLS data, license it onward, expose it through a public API, or make it available to anyone outside the participant and the participant's own registered clients.
- No open listing search. We run no consumer listing search on our domains — no surface anywhere lets a visitor browse or query MLS content at large. Listing data reaches the public in exactly one form: a single-property page for a participant's own active listing, published under that participant's brand, which is the ordinary case of a listing broker advertising its own listing. Records sourced from other brokers are never published that way, and neither are sold, pending or withdrawn listings. Everything else is reachable only behind the participant's login, or through a page the participant shares with a specific client.
- Updates and deletions are honored. Where data is replicated locally, the local copy processes removals, expirations and status changes — not just additions — so it does not drift out of agreement with the source.
- Purged on termination. If a data license ends, the corresponding local data is removed.
- Attribution and disclaimers. Surfaces that display listing content are built to carry the attribution, broker identification and disclaimer text the originating MLS requires.
- Never used for valuation in lending. Neither MLS data nor any automated estimate the platform produces may be used to make a credit decision or to value collateral securing a mortgage. Our Terms of Service prohibit it. We state plainly there that the platform is not built to meet the federal interagency standards for automated valuation models, rather than implying a control we do not have.
Who is responsible for what. The mechanisms above are ours to build and operate. Under each MLS's own rules the licensed participant remains responsible for their display compliance — attribution, refresh frequency, listing-status accuracy and any restriction on redistribution — and our Terms of Service say exactly that. Nothing on this page narrows a participant's obligations or substitutes for their own agreement with their MLS.

How we treat client information
The professional owns their client relationships and their data. For information about their clients we act as a service provider, processing it on the professional's instructions to deliver the software — we do not sell it, we do not share it for cross-context behavioral advertising, and we do not use it to train AI models. Because the client-facing pages carry the professional's brand and not ours, we are explicit in our Privacy Policy that the professional, not Smooth Flow, is the party responsible to their own clients for the data they collect.
